Deskripsi Lowongan

Job Summary:

We are looking for an experienced and highly capable Business Secretary to provide top-level administrative and executive support to our leadership team. In this senior role, you will act as a critical link between the executives and various internal and external stakeholders, ensuring smooth communication, organization, and execution of key business functions. The ideal candidate is fluent in English, well-presented, energetic, and able to operate in a fast-paced environment with a high degree of professionalism and confidentiality.

Key Responsibilities:

  • Provide executive-level administrative support, including managing complex calendars, coordinating high-level meetings, and handling confidential documents.
  • Serve as the primary point of contact between senior management and internal/external stakeholders, ensuring timely and effective communication.
  • Prepare, proofread, and manage high-quality reports, presentations, and business documents in both English and Bahasa Indonesia.
  • Manage and prioritize correspondence, ensuring important issues are addressed promptly and effectively.
  • Coordinate and manage executive travel arrangements, including international itineraries, visas, and accommodations.
  • Take ownership of meeting logistics, including preparing agendas, documenting minutes, and tracking follow-up actions.
  • Act as a gatekeeper for senior executives, prioritizing tasks and requests, and ensuring efficient time management.
  • Oversee and manage key administrative functions such as invoice processing, vendor management, and office supply coordination.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Represent the company with a professional and polished demeanor, both in person and in written or verbal communication.

Key Requirements:

  • Fluency in English (both written and spoken) is mandatory.
  • Proven experience in a senior administrative or secretarial role, supporting high-level executives in a corporate environment.
  • Excellent organizational and multitasking skills, with the ability to manage complex tasks and tight deadlines efficiently.
  • Strong interpersonal skills and the ability to build relationships with key stakeholders at all levels.
  • A well-presented, polished, and professional demeanor, reflecting the company’s values.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other business software tools.
  • High levels of energy, initiative, and the ability to proactively support senior executives and their objectives.

Preferred Qualifications:

  • A minimum of 4 years of experience in a senior secretarial or executive assistant role.
  • Experience working in a corporate, fast-paced environment, preferably in property development or a related industry.
  • Strong project management skills and the ability to work independently.
  • Multilingual candidates (fluency in more than two languages) are preferred.
